We built a personal site and a client database; the hard part was moving the archive that had built up in the Keller Williams panel without losing any of it. The migration ran once and closed with zero errors.

What the situation wasbefore the build.
The advisor had worked in the Keller Williams panel for years and her entire history sat there. The price of moving to a new system was the risk of losing that history.
- The archive held close to two thousand contacts and dozens of different tags.
- Numbers that were not clients had accumulated among the records: a fire station, a pharmacy, a removals firm.
- The same person could exist in two records, and sorting that out by hand would have taken weeks.

The archive was pulled in full
All 2,887 contacts in the Keller Williams panel were exported and the raw copy backed up. The backup was kept after the migration too.

Matching by phone number
Records were matched on phone number and enriched: company name, source tag, normalised tags, district and search criteria. No populated field was overwritten.

Junk records set aside reversibly
Thirty records that were not clients were flagged and hidden, not deleted. All of them are tagged and can be brought back with one command.

One error was found later and fixed
The criteria extractor had read a second phone number as a budget in 184 records. The broken budget fields were cleaned and the district and location data preserved.
The history was not lost,and it came out cleaner.
The measure of a migration is not how many records moved but how many did not go missing. The result was verified by an independent read and the rollback file was kept.
