Digital transformation in education

Parent questions get answered during admissions season

For private schools, courses and nurseries, admissions season is squeezed into a few weeks, and questions on fees, transport and programmes arrive all at once. We build the setup that gives parents a first reply, puts visit bookings in the calendar and follows every applicant in one record. Every decision about teaching stays with the school.

What happens today

Where the hours goin education.

  1. 01

During admissions, questions on fees, transport and programmes outrun the phone.

  2. 02

School visits and introductory meetings are arranged by hand.

  3. 03

Follow-ups with parents are forgotten, and the applicant goes to another school.

  4. 04

Payment reminders and announcements are sent one message at a time.

How we solve it

The four-part AI setup we buildfor education.

First replies to parents

Questions on fees, transport, programmes and admission terms are answered from the school's own information. Anything without an answer passes to the admissions lead.

Visit and trial lesson bookings

Parents choose a time themselves, the booking goes into the calendar, and a reminder goes out the day before.

Applicant records

Every application sits in one record: what was discussed with which parent, what was sent, and who needs a call back are all in the list.

Parent updates

Payment reminders, events and announcements go out on WhatsApp using approved templates.

Example setup

Not a client story; it shows how the setup works in this sector.

During admissions at a private school, a fee question on Instagram is answered from the school's own information and the parent is offered a time for a school visit. The chosen time goes into the calendar, and what was discussed on the visit is added to the applicant's record. Each morning the admissions lead sees who needs a call back.

What we aim for

What we expect to changeonce it is running.

  • Aims to make sure no parent question goes unanswered during admissions.
  • Targets a timely call back to every parent the school has spoken to.
  • Runs announcements and payment reminders from one place.

On the school's side it is mostly used for first replies to parents, visit bookings, following up applicants and announcements. Teaching, assessment and admission decisions stay with the school.

Data about children and parents is handled with particular care. Data protection is built into the setup from day one, under GDPR and, for Turkish operations, KVKK. It is used only for the school's admissions and communication, and who can see what is set in writing during setup.

If your software offers an external connection, student and application details are read from it; if not, a separate panel is built for admissions. Which suits you is agreed during discovery.

Discovery takes about a week. We then show you a working demo, put your requirements in writing through a detailed form and build the real thing. Scope and budget are settled in a free discovery call, based on what your business actually needs.
