WhatsApp Business integration

The customer is already there, the system should be there too.

Notifications, order and appointment tracking and customer conversations gather in the business account and connect to the customer record. The conversation does not stay on anyone's personal phone, and the channel's twenty-four hour rule is applied by the system.

How it is built

From the moment the number is verifiedto the moment the conversation is on record.

The first job is working out what WhatsApp is used for today and whose hands each number sits in. Then we open the business account and send the templates for approval. Last, we start watching the read rate and the reply rate.

Step 1 · We work out the usageWhat does WhatsApp do for you today?

Step 2 · Account and templates are set upThe number is verified, the templates are approved.

Step 3 · Measured, then widenedThe read rate turns into a number.

What it can do

It sets the channel up,it follows the channel's rules.

Six modules take on the four rules of the channel: the window, the template, the record and the handover. The twenty-four hour rule is applied by the system, never left to somebody remembering it.

One number, a company-owned history

Several people can answer from the same number and who wrote what is visible. When an employee leaves, the conversation history stays with the company instead of walking out with their phone.

Approved copy, defined usage

Notification templates pass Meta's approval; which template is used in which situation is written during the build. Copy that has not been approved never reaches a customer.

Notifications run on triggers

When an order status changes, an appointment approaches or a payment is due, the notification goes out on its own. You set the trigger, and nobody types the message by hand.

The twenty-four hour rule is written down

A free-form message goes out within twenty-four hours of the customer's last message; after that only approved templates are used. When the window closes the screen shows it, so nobody has to memorise the rule.

The reply draft arrives ready

Draft answers are prepared for the frequent questions and land in the approval queue. The decision to send stays with a person; if you want, automatic sending is opened for specific situations.

The health of the channel is visible

Read and reply rate, template approval status, blocks and complaint counts sit on one screen. If the number's reputation starts to drop, you see it early.

Message types

Not every message follows the same rule, the split is defined during the build.

A service message, a notification and a marketing message go out in different windows and with different permissions. Which template belongs to which situation is written during the build, and the choice is locked on the screen.

Yes. Your existing business number can be moved to the WhatsApp Business API. During the move that number leaves the personal WhatsApp app; that is why most organisations start with a separate number.

No. A free-form message goes out within twenty-four hours of the customer's last message; after that only previously approved templates are used. When the window closes the screen closes the free-text field.

Usually a few days on the WhatsApp side. Nothing is sent with a template still awaiting approval; the build schedule allows for that time.

They can be sent to people with explicit marketing permission, using an approved template. Sending without permission leads to the account being restricted; permission management is part of the build.

In your business account and on your customer record. When an employee leaves, the history stays with the company. The conversations are not used for model training.

Blocks and complaint counts are watched on the screen, and sending is stopped when they start to climb. If a restriction arrives, the appeal is handled, and in the meantime your conversation history stays in your account.

Yes. Incoming messages land in one queue and who answered goes on record. Two people writing to the same customer at once is prevented.

Discovery takes a week. In that week we work out today's usage and write down which templates are needed. The first live workflow opens within 4-8 weeks; the timing changes with account verification, template approvals and the systems being connected. Your own timeline is written into the discovery report.

Three things are measured in the discovery week: response time, the number of missed messages and the number of notifications sent by hand. All three are measured again after the channel opens. The number of conversations left on a personal account drops to zero; every message sits in the business account and on the customer record.

Message types

Which message goes out when, and what permission it needs.

The window and the permission requirement of every message type are written out separately. The rule is applied by the system, not left to the person writing the message.
