Pilates studio website: schedule, booking and memberships in one place

Short answer

A pilates studio website is where a member reads the week's schedule, books a class place and sees packs and memberships. ALTAI Digital builds studio sites around that job. The schedule lives on the site; bookings arrive from the web or WhatsApp, and remaining places update on their own. Packs, memberships, remaining credits and the cancellation window are written out for the member, and a reminder goes out before each class. The site links to the Google Business Profile and Instagram. Delivery takes four weeks.

A pilates or yoga studio sells a timetable. Reformer and group classes have a fixed number of places and the schedule changes week by week. The member's first question is whether there is a place on Tuesday evening. In many studios that question is still answered by hand: a WhatsApp message, a reply from the front desk, a name added to a list. The site's job is to put the schedule in one place and take the booking there.

Most studios sell class packs or monthly memberships. Two questions come up more than any other: how many credits do I have left, and how late can I cancel without losing one. Both are answered today by whoever is at the desk, often between two classes. When remaining credits and the cancellation window are written on the site and shown at booking, the question answers itself. A dispute over a late cancellation ends with a link to the rule.

Many studios use a booking app for this and pay for it every month. The app holds the schedule, the member list and the payment history, and the studio's own site becomes a brochure that points to it. That works until the fee is questioned or the member data needs to move. ALTAI Digital builds the booking into the studio's own site. The schedule, the credits and the member records stay in a system the studio owns, and member data is processed under GDPR.

Most new members arrive from a Google search, an Instagram profile or a recommendation. All three end at the same place: someone types the studio's name into Google or taps the link in the Instagram bio. If there is no site, they send a message and wait. If there is a site, the schedule is visible at once, a free place is chosen and the booking is done in two minutes. We work from Rotterdam and Istanbul and deliver in English and Dutch.     The week's timetable is posted as an image in a WhatsApp group and is three messages up within an hour. Members ask, the desk reposts, and when a class moves the old image keeps circulating.

    A reformer class has a fixed number of places; who is coming, who cancelled and who is waiting is picked out of messages. Double bookings surface at the door, and someone is sent home.

    A member on a class pack wants to know how many classes are left. The answer sits in a spreadsheet or in the instructor's phone. Until the member can see the balance on the site, the question comes back every week.

Scope of the build

Weekly schedule and capacity-limited booking

The schedule is entered once, on one screen; each class shows day, time, instructor and places left. A member picks a free place and books; the count drops on its own, and a full class opens a waitlist. A member who writes on WhatsApp is added to the same list by the desk with one tap, so both channels use one count.

Class packs and memberships page

Packs and monthly memberships sit side by side; the studio enters and changes prices from its own admin screen, in euros or pounds. Each option states how many classes it includes, how long it is valid and which cancellation window applies. The buy or enquire button goes to a form or to WhatsApp.

Remaining credits and the cancellation window on the member's page

A member sees remaining credits, past classes and upcoming bookings on their own page. The cancellation window is set by the studio. A cancellation inside the window returns the credit, a late one does not, and the rule is shown at booking.

Instructor pages

Each instructor gets a page: training, class types and weekly hours. A class on the schedule links to the instructor, and the instructor's page links to that week's classes. A member who wants a one-to-one picks the instructor and sees the open slots.

Reminders and waitlists

A reminder goes out by WhatsApp or e-mail before the class, with a cancel link in the message. When a member cancels, the freed place is offered to the first person on the waitlist and is filled on their confirmation. The reminder time follows the studio's cancellation window.

Google Business Profile and Instagram

The site is linked to the Business Profile; address, hours, phone and reviews are maintained from one source. The profile's booking link opens the schedule. The link in the Instagram bio goes to the same schedule page, so a class posted as a story has a place to book.

Speed, ownership and GDPR

Pages are coded from scratch in Next.js and open in under three seconds on a phone, with the schedule on the first screen. Domain and hosting are registered in the studio's name and the source code stays with the studio. Member data is stored in the studio's own system and handled under GDPR, with privacy notice and consent text in the booking flow.

    Discovery (1 week)

    Schedule, class types, capacities, packs, the cancellation window and instructor details are collected. The current WhatsApp flow, booking app and Business Profile are measured.

  2. 02

    Design and writing (2 weeks)

    The schedule screen and booking flow are built, pack and instructor pages are written, reminder messages and GDPR notices are prepared. An interim preview is shared.

  3. 03

    Corrections and launch (1 week)

    Corrections are applied, the studio team is shown the admin screen, domain and hosting are registered to the studio, the site goes live.

  4. 04

    Connection and measurement

    Search Console and the Business Profile are connected and the schedule page is submitted for indexing. A report on bookings and visits follows at the end of month one.

Yes. Members keep writing on WhatsApp as they do now. The desk adds the booking to the right class with one tap, and the place count drops from the same list. Web bookings and WhatsApp bookings are one capacity count, not two lists. The month-one report shows how many bookings came from each channel.

The member joins a waitlist. When someone cancels inside the window, the freed place is offered to the first person on the list by WhatsApp or e-mail. If they confirm, the place is theirs; if not, it moves to the next person. The studio sees the waitlist on the admin screen and can open a place by hand.

The studio. Packs, monthly memberships, class counts, validity and prices are entered and changed on the admin screen, in euros or pounds. No technical knowledge is needed. Adding a promotional pack takes a few minutes. The team gets a half-hour walkthrough at launch; studios that prefer it have us make changes under monthly maintenance.

The studio sets the rule, the site applies it. How many hours before class a cancellation is free is defined during the build. A member who cancels inside the window gets the credit back; one who cancels after it loses the credit. The rule appears on the booking screen, in the confirmation and the reminder, so a dispute ends with both sides reading the same text.

Not necessarily; we measure first. If the app works for the studio, the site links to it and the schedule is still shown on the site. If the monthly fee or the data location is the problem, booking moves into the site's own module and the subscription ends. Member records are exported from the app and imported under GDPR. The decision is made on the discovery call.

Member records (name, contact details, bookings and credits) are stored in the studio's own system, on hosting registered to the studio. The booking flow carries a privacy notice and a consent text. A member can request a copy or deletion of their data through the site. The retention period is agreed with the studio during discovery.
