What is a booking engine?
Booking engines sit on a hotel's own website and let a guest pick dates, read the terms and reserve a room without an intermediary. Availability, room types, price rules and cancellation terms are all defined inside the engine. The guest picks the dates, sees the conditions and finishes the booking. The reservation lands with the hotel directly.
How does a booking engine work on a hotel website?
A guest opens the website and picks the dates. The engine shows the room types free on those nights, the rate and the cancellation terms. Once the guest confirms, the reservation is created and the confirmation email goes out.
Three rules sit behind that screen. The availability rule decides which room can be sold on which night. The price rule works out the amount from season, length of stay and how early the booking is made. The cancellation rule sets the date until which money is refunded.
The engine does not stand alone. It connects to the property management system, so a room sold in one place disappears from the calendar everywhere else. Without that link, the same room gets sold twice.
- The guest picks dates and a room type.
- Availability, price and cancellation rules live in the engine.
- The reservation reaches the hotel and the guest gets a confirmation.
- The calendar updates across every connected system.
How does it differ from an intermediary platform?
Intermediary platforms find the guest and take a commission on the booking in return. The rate depends on the platform and the contract, so no figure is quoted here. A booking made on the hotel's own site carries no such deduction.
The second difference is guest data. A reservation that arrives through an intermediary often comes with limited contact details. With a direct booking the guest record stays with the hotel, and any later contact rests on the hotel's own consent record under GDPR.
Neither replaces the other. The platform brings reach, and the hotel's own engine lowers the cost per booking. Most hotels run both and measure the split between channels every month.
- The platform finds guests and charges commission.
- A direct booking carries no commission deduction.
- The guest record stays with the hotel.
- The channel split is measured monthly.
What does direct booking actually mean?
A direct booking is one a guest makes on the hotel's own website without going through an intermediary. The reservation record, the payment rule and the cancellation terms follow what the hotel decided.
It gives the hotel three things: no commission deduction, a guest record that stays in house, and full control over rate and conditions.
Price alone does not pull a guest to the direct route. Check-in and check-out times, parking, breakfast, transfers, pets and the cancellation terms need to be written plainly on the site. Those same questions arrive by phone, and answering them on the page cuts the number of calls.
- No commission deduction.
- The guest record stays with the hotel.
- The hotel sets the rate and the cancellation terms.
- Check-in time, parking, breakfast and transfers are written on the page.
What is the equivalent for restaurants and appointments?
The same pattern covers tables and appointments. In a restaurant the unit is a table rather than a room, so covers, sitting time and turn time become the rules. For appointment businesses the units are staff availability and service duration.
The rules are written down here too. Service duration, preparation time, staff availability and holidays are defined in the system. Reminders go out a day and two hours before by default, each with a cancellation link inside.
A cancelled slot does not go to waste. It returns to the calendar and the waiting list is notified. The monthly report shows occupancy, the no-show rate and the most requested times.
- Restaurants: covers, sitting time and turn time become rules.
- Appointments: service duration, preparation time and staff availability.
- Reminders go out a day and two hours before.
- A cancelled slot returns to the calendar and the waiting list hears about it.
What should you check before switching one on?
The first point is availability. Where the calendar has more than one source of truth, the same room or the same slot gets sold twice. The connections are tested during the build, with double-booking cases run on purpose.
The second point is the cancellation rule. The free-cancellation deadline, the amount withheld afterwards and the refund period all belong on the booking screen. If a deposit or prepayment is taken, the business sets the refund rule.
The third point is personal data. A booking form collects a name, a phone number, an email address and sometimes payment details. Under GDPR the privacy notice states why each field is collected, where it is stored and how long it is kept. ALTAI Digital builds the booking flow on the client's own website.
- The calendar has one source of truth.
- Cancellation and refund rules appear on the booking screen.
- If a deposit is taken, the refund rule is agreed first.
- Every collected field is covered by the privacy notice.

Booking engineFrequently asked questions
A form collects a request; an engine completes the sale. A form shows no availability and leaves confirmation to a person. In an engine the free room appears at once, the record is created and the calendar updates.
Most hotels run both. The platform brings new guests, while the hotel's own engine takes the returning guest and the brand search. What each channel delivers is measured every month.
The fewer the rooms, the more each booking counts. In a small property one commission-free booking moves the monthly total on its own. The scope of the build is set by the number of rooms.
No. A deposit or prepayment is optional, and the business sets the refund rule. Where no payment is taken, writing the cancellation terms plainly matters even more.
Not completely. A reminder goes out a day and two hours before, with a cancellation link inside. Easy cancellation lets the freed slot pass to someone on the waiting list.
The records sit in the business's own account and can be exported. Guest details are used for marketing only where explicit consent exists. Access rights are defined during the build.
