ALTAI Digital builds it for salons, studios, clinics and restaurants in the Netherlands and the UK. Service length, buffer time, staff availability and holidays are set as rules. The calendar syncs both ways with Google Calendar or Outlook. Reminders go out a day and two hours before, with a cancel link inside. A cancelled slot returns to the calendar and the waitlist is notified.
A business that works by appointment usually takes bookings in three places: the phone, Instagram messages and WhatsApp. The person answering them is often serving a client at the same time. Bookings are copied into a paper diary or a shared calendar by hand. On a busy day a message gets missed. One slot goes to two people, or a booking lands on a stylist's day off. A message sent after closing waits until morning. When nobody sends a reminder, the client forgets and the hour runs empty.
A booking system puts every appointment in one calendar. Clients open a booking link from your website or a message and pick a free time themselves. Someone booking late in the evening gets a slot without waiting for the morning. Your rules decide which times are open: service length, buffer time, staff availability and holidays. The second is the client record. In an app, the client list and booking history sit in the platform's account. In our build, they stay with your business.

What goes wrong today

Bookings arrive in three places
One booking comes by phone, another by Instagram message, a third on WhatsApp. Whoever copies them into the diary is also looking after the client in front of them. One gets missed, or the same slot goes to two people.

Evening messages wait until morning
A client writes after closing time and gets an answer the next morning. By then they may have booked somewhere else. The lost enquiry never appears in the diary, so nobody knows how often it happens.

Service length and staff time are guessed
A long treatment is squeezed into a short slot, and the next client waits. A day off or a lunch break is not marked. A slot is offered with nobody free to take it.

A no-show is an empty hour
Reminders depend on someone remembering, and on a busy day nobody does. The client forgets, the slot runs empty and the staff member waits. When no-shows are not counted, the cost stays invisible.

A cancelled slot goes unannounced
A client cancels and the slot is deleted from the diary. Nobody tells the person who wanted that time. The waitlist, if there is one, lives in someone's memory. The slot stays empty for the rest of the day.

The booking app sets the rules and keeps the list
Many businesses pay a monthly fee for a booking app. Its options decide the cancellation window, the buffer time and the reminder wording. The client list and booking history sit in the app's account, not with the business.
Scope of the build
Clients pick their own time, on your rules
The client opens the booking page and picks the service and the time. Your rules decide which slots are open: service length, buffer time, staff availability and holidays. When a rule changes, the calendar changes with it. A slot that does not fit is never shown, and nobody updates two places.
Two-way sync with Google Calendar or Outlook
The booking calendar syncs both ways with Google Calendar or Outlook. A booking made online appears in the staff member's own calendar. A meeting or a day off entered there shows as busy in the booking calendar. A clashing slot never opens.
Reminders with a cancel link
By default, reminders go out a day before and two hours before the appointment. The channel is WhatsApp, SMS or e-mail, and you decide which. The cancel link sits inside the message. A client who cannot come taps it instead of calling you.
Cancelled slots and the waitlist
A cancelled slot returns to the calendar and the waitlist is notified. Announcing a free slot no longer depends on someone noticing it. A client who wants a full time joins the list. When the time opens, the message goes out on its own.
Optional prepayment or deposit
If you want it, a booking opens with a prepayment or deposit taken through Stripe. You decide which services need one. The refund rule is yours, and it is written down during the build. Services without prepayment are booked as usual.
Monthly report: occupancy and no-shows
Each month the report shows occupancy, the no-show rate and the most requested times. Which days run empty and which slots fill first is visible in numbers. When you change the reminder rhythm or the deposit rule, the next report shows the effect.
Client records stay with your business
The client list, booking history and reminder log stay in your own systems, not in a platform's account. The list grows with every booking and remains yours. Under the GDPR your business is responsible for that record. It helps to know exactly where it is kept.

Build
The rules go into the calendar and the Google Calendar or Outlook sync is set up. Reminder channels and wording are prepared, and WhatsApp templates go to Meta for approval.

Trial
Your team books test appointments. Reminders, cancellations and the waitlist are tried on real phones. Rules that get in the way are corrected.

Launch and monthly report
The first live flow opens within four to eight weeks. Occupancy, the no-show rate and the most requested times are reported every month.

Pricing is given after the discovery call. It depends on the number of staff, the range of services and whether prepayment is set up. The discovery report then states the scope and the schedule for your business in writing.
