Businesses looking for an AI automation agency have usually been through one of two things. Either they saw a demo that behaved differently once it met real data, or they bought a tool that became a tab nobody opens. The problem is rarely the model. It is that the build was never tied to the work the business actually does.

We open with three questions: which work repeats, who carries it today, and what number would show it improved. The answers are written down during the discovery week. Then one flow goes live and is measured. We do not switch everything on at once, because one working flow is worth more than five that nobody trusts.

There are four areas. Chatbots and voice assistants answer from the business's own sources and hand anything else to a person with a summary. Workflow automation ties repeated steps into documented flows, and the tool choice (n8n, Make or Zapier) is written down with its reason. CRM and enquiry handling bring every enquiry into one list and one customer record. Websites and advertising build and measure the place those enquiries come from.

Three things are agreed from the start. Flows live in your accounts or on your server and are handed over with their documentation. Every run is logged, and failures do not go quiet: they queue, notify an owner and retry. Steps that are hard to undo, such as sending, paying or deleting, wait for a person to approve. We work from Rotterdam and Istanbul, and personal data is handled under GDPR.

    The demo works, the live version does not

    The example in the presentation runs smoothly. With real data the same flow behaves differently: fields are missing, exceptions appear, records are not what anyone assumed. The result in production is not the result that was promised.

    The model answers without a source

    A general-purpose assistant produces an answer for everything. A wrong price, lead time or condition reaches a customer, and the business finds out afterwards.

    Nobody knows where the data goes

    Which information leaves for which service is not written down. Customer records, conversations and documents spread across three cloud tools. In an audit nobody can show who had access to what.

    The flow lives in the builder's account

    The automation runs in a tool owned by the agency. When the work ends, both the flow and the access stay there. The business cannot take over its own process.

    Nothing is measured

    Before and after are never compared with the same measure. Whether response times fell or more enquiries closed is unknown, so whether the system helps becomes a matter of opinion.

    It is called finished, then nobody maintains it

    A flow goes live and is left alone. A connection changes, the flow stops quietly, and when someone notices there is no record of the days in between.

For a week we map repeated work, channels and owners. The output is a discovery report with a route: which flow comes first, which systems connect, and the number that will show whether it worked.

Assistants that answer from your sources

Chatbots and voice assistants speak only from the sources you provide. When a question has no answer there, they do not invent one; they hand the conversation to your team with a summary. Customers are told they are talking to a bot.

Documented workflows

Every flow is documented with its trigger, steps and error behaviour. The tool is chosen with a written reason: n8n when data must stay on your own server, Make for visual flows of medium complexity, Zapier for simple links between common tools.

Run log and error queue

When a flow ran, on which record and with what result is written to a log. A failed run queues, notifies its owner and retries; if the retry fails the flow stops and you are told.

Human approval step

Sending, paying and deleting wait for a person. Where the approval step sits is decided together at setup, and who approved what is recorded.

Enquiries and customer records

Enquiries land in one list whatever the channel and are assigned to a person. Reply drafts come from your own sources and wait in an approval queue. Customer records sit in one place.

Handover and measurement

Flows live in your accounts or on your server and are handed over with documentation. The monthly report shows success rate, average duration and pending errors, and compares before with after on the same measure.
