AI automation agency UK: one working flow beats five demos

Short answer

ALTAI Digital is an AI automation agency working with small and mid-sized businesses in the United Kingdom, from Rotterdam and Istanbul. We build chatbots and voice assistants that answer only from your own sources, workflows documented with their triggers and error behaviour, and CRM setups that keep enquiries in one record. Flows are handed over in your own accounts, and processing locations are written down under UK GDPR.

Most UK small businesses we speak to have already tried something. A chat widget that nobody maintains, an automation someone built in a trial account, a pilot that never touched the real inbox. The tools were not the problem. Nothing was tied to the work that repeats every day, and nothing was measured, so the attempt quietly stopped.

We work in one-flow steps. The first week is discovery: which requests repeat, who handles them today, which systems they touch and what number would show an improvement. You get a written report with a route. Then one flow goes live and is measured against that number. The second flow takes days once the first is trusted.

Distance is a practical question, so here is the honest answer. We work from Rotterdam and Istanbul. Rotterdam is one hour ahead of the UK, which leaves most of the working day overlapping, and meetings happen by call. If an on-site day matters for your build, we plan it into the schedule rather than promising drop-ins.

Two rules make the difference between a pilot and a system that lasts. First, assistants answer only from your own sources and hand over anything else to a person with a summary. Second, everything lives in your accounts with documentation, so your team or another supplier can carry it on. Personal data is handled under UK GDPR, and where each field is processed is written into the handover.

What happens today

What goes wrong today

  1. 01

Enquiries wait until someone is free

Calls, emails and web forms arrive while the same people are delivering the work. A request sits for hours, and the customer who wanted a quote has already asked someone else.

  2. 02

    The chat widget nobody answers

A chat box was added to the website and its messages go to an inbox. Out of hours the customer gets nothing, and the widget becomes decoration rather than a channel.

  3. 03

    Quotes assembled by hand

Prices, dates and customer details already exist in a system, yet the quote is typed again each time. The rework is slow and errors reach the customer before they reach anyone internally.

  4. 04

A pilot that never met real data

An AI tool was trialled on sample content. With real records it behaved differently, nobody owned the fix, and the trial ended without a decision.

  5. 05

    Automations in a personal account

A workflow runs in an account belonging to one employee or a former supplier. When access changes, the flow stops and nobody knows what it did.

  6. 06

    No evidence for data questions

A client or an insurer asks where customer data is processed. The answer exists in several tools and nobody has written it down, so a simple question takes days.

What we build

Scope of the build

Discovery with a written route

In the first week we map repeated requests, the systems behind them and their owners. You receive a report naming the first flow, the systems to connect and the number that will show whether it worked.

Assistants that answer from your sources

Chatbots and voice assistants speak only from your service list, hours, policies and documents. Anything without an answer there goes to a person with a summary, and customers are told they are talking to a bot.

Documented workflows

Each flow is written down with its trigger, steps and error behaviour. The tool is chosen with a written reason: n8n when data must stay on your own server, Make for visual flows of medium complexity, Zapier for simple links.

Enquiries in one queue

Calls, emails, forms and WhatsApp land in one list and are assigned to a person. A request waiting longer than your threshold moves to the top and its owner is notified.

UK GDPR evidence in the handover

Which field is processed where is written into the handover document, and sensitive fields stay out of cloud flows. Records and conversations are not used to train models, so a data question has a short answer.

Working across one hour

We work from Rotterdam and Istanbul, one and two hours ahead of UK time, so most of your working day overlaps ours. Weekly calls and a shared written report keep the build visible; an on-site day is planned into the schedule when it matters.

Handover and monthly measurement

Flows live in your accounts or on your server and are handed over with documentation and training. The monthly report shows success rate, average duration and pending errors, comparing before and after on the same measure.

How it runs

How the set-up runs

  1. 01

    Discovery (1 week)

Repeated work, systems and owners are mapped on calls and written into a report with a route.

  2. 02

    First flow

One flow is built and connected, with sources organised and approval steps written down.

  3. 03

    Trial

The flow runs with your team before customers see it, and gaps go back into the sources.

  4. 04

    Launch and measure

The flow goes live with measurement in place. The first live flow opens in four to eight weeks.

Key concepts

Terms used on this page

UK GDPR
The UK's data protection regime, under which the business deciding why and how personal data is processed is the controller.
Self-hosted automation
An automation tool such as n8n running on your own server, so records do not leave it.
Discovery report
The written output of the first week: repeated work, systems, owners, the first flow and how it will be measured.
Enquiry queue
One list where requests from every channel land and are assigned to a person.
Handover documentation
The written record of a flow's trigger, steps, error behaviour and processing locations, given to you with the flow.

No. We work from Rotterdam and Istanbul with UK clients. Rotterdam is one hour ahead of UK time, so most of the working day overlaps and meetings happen by call.

An on-site day can be planned into the schedule when the build needs it, such as a walkthrough of a busy reception or warehouse. We plan it rather than promise casual visits.

n8n runs on your own server, so records stay there. If a cloud tool is used, which fields go to it is written into the handover, and sensitive fields stay out. Records are not used to train models.

You remain the controller for your customer data, and we act on your instructions for what we build. Processing locations and systems are documented so the answer is easy to evidence.

Yes. Most of our work is with teams of two to twenty people, where one or two people carry the repeated work. That is where a single flow is felt immediately.

A failed run queues, its reason is logged and its owner is notified, then it retries. If the retry fails the flow stops rather than continuing quietly, and you are told.

Yes. Flows live in your accounts or on your server, documented, and are transferred with training whenever you ask.

Four to eight weeks for the first live flow after the discovery week, depending on the steps and systems involved. Your own timeline is written in the discovery report.

The process first, the proposal after

In a short discovery call we map the process together and tell you plainly whether it is worth automating. If it is not, we say that too.
