Meta ads management: enquiries land in a record, not a spreadsheet
Meta ads management is the setup, measurement and weekly running of Instagram and Facebook campaigns. ALTAI Digital builds the measurement first: the Pixel, the Conversions API and the CRM link. An enquiry from a lead form lands in the customer record, and when the sale closes that is written back to the ad account. The account is opened in your name, and the fee is a fixed monthly amount rather than a share of spend.
The common picture in Instagram advertising is this: the campaign brings plenty of form submissions, and the sales team cannot reach most of them. The number is wrong, the person does not remember the ad, or they expected something else. The count looks healthy in the report and thin in the bank. While tracking counts forms, the campaign learns to produce forms.
We tie the measurement to the sale. The Meta Pixel and the Conversions API run together, so browser-side and server-side events support each other. An enquiry from a lead form goes straight into the customer record and is assigned to someone. When the sale closes, that is written back to the ad account, and the campaign learns from closed business.
Audiences are separated too. People who have visited the site or messaged before sit in a remarketing audience with its own budget, apart from first-contact audiences. On the creative side we prepare several copy and image variations, check them against your brand guidelines and send them for approval. Which variation performs is measured and reused in the next round.
The first days are a learning period. On a campaign we ran for an estate agency team, the first ten days were expensive; we saw that in the numbers because the measurement chain was in place from day one. Once it settled, the cost per record fell from TRY 1,767 to TRY 587. We work from Rotterdam and Istanbul, under UK and EU data rules.
What goes wrong today
- 01
Forms arrive, conversations do not
Lead form ads produce many records. Some numbers are wrong and some people do not recall the ad. The sales team works the list and gets nowhere, and the report does not match what the business sees.
- 02
Enquiries sit in a spreadsheet
Form records are downloaded by hand and pasted into a sheet. Nobody knows who has been called. By the time someone rings, the person has already gone elsewhere.
- 03
Tracking lives only in the browser
Only the Pixel is installed. Visitors who decline consent or block tracking never appear. The campaign learns from partial signals, and results look worse than they are.
- 04
One audience, one budget
Someone who has never seen the site is targeted alongside someone who abandoned a basket. Remarketing inflates the cheap results and hides the real cost of reaching new people.
- 05
A single creative
One image and one text go live. Results drop after a few weeks and nobody knows why, because there is no second variation to compare against.
- 06
Account and audiences sit with the agency
The business manager belongs to the agency. When the work ends, Pixel history and audiences stay there, and the next setup pays for the learning period again.
Scope of the build
Pixel, Conversions API and the CRM link
The Meta Pixel and the server-side Conversions API are set up together and events are deduplicated. A lead form enquiry lands in the customer record and is assigned to someone. When the sale closes, that is written back and the campaign learns from closed business.
Audience structure and separate budgets
Remarketing and first-contact audiences run in separate campaigns on separate budgets. Lookalike audiences are documented with the source list they came from. Which audience sees which message is decided at setup.
Creative variations and approval
Every campaign runs with several copy and image variations, checked against your brand guidelines. Nothing goes live before you approve it.
Lead forms and an instant reply
Form fields are kept short and validated. The moment a record arrives, a welcome message goes out by WhatsApp or email, so the conversation starts while the person still remembers the ad. The share of wrong numbers is measured and the fields are adjusted.
Learning period and pace
The first days are a learning period and costs move around. During that time the campaign is not changed daily; changes are made with a written reason and at intervals that can be measured.
Weekly report and budget decisions
Each week we compare spend, results and cost per result per campaign. Campaigns whose budget rises or stops are listed with the reason, and the decision stays with you.
Accounts in your name
The business manager, ad account, Pixel and payment method are opened in your name, and we are added as users. When the work ends our access closes and the Pixel history and audiences stay with you.
How the build runs
- 01
Discovery (1 week)
We review the account, Pixel status, form flow and sales process, and write down the target cost per result together.
- 02
Measurement setup
The Pixel and Conversions API go in, events are deduplicated, and the CRM link and welcome message are connected.
- 03
Campaigns and creative
Audiences, campaigns and variations are built; creatives go live after your approval.
- 04
Weekly management
Results are compared in a weekly report, creative is refreshed and budget decisions come with reasons.
We ran a Meta campaign for an estate agency team working in Zekeriyakoy and Sariyer, Istanbul. Because the measurement chain was in place from the start, we could see in the numbers that the first ten days were expensive. Once it settled, the cost per record fell from TRY 1,767 to TRY 587.

Meta ads managementFrequently asked questions
Both run from the same Meta ads manager. Placement follows the campaign goal. Some audiences respond better on Instagram and others on Facebook; which is which comes from measurement rather than opinion.
Straight into your customer record, assigned to a person. A welcome message goes out as the record lands, so the conversation starts while the person remembers the ad.
Browser-side tracking alone is incomplete because of consent and tracking limits. Server-side events close part of that gap, so the campaign learns from better signals.
No. The management fee is a fixed monthly amount, independent of spend. You pay the platform directly and Meta invoices you.
We prepare copy and image variations and check them against your brand guidelines, then send them for approval. If video is needed, the scope is agreed in discovery.
The first days are a learning period and costs move around. Because tracking is in place from the start, the effect of each change shows in the weekly report.
Some categories face targeting and creative restrictions. We check the category before setup and shape the campaign accordingly.
Yours. The business manager, ad account and Pixel are set up in your name, and we are added as users. When the work ends our access closes and the audiences stay with you.
