In most estate agencies the customer information sits on agents' phones. A buyer's budget is in a WhatsApp message, the property they liked is a screenshot, and the viewing note is in a notebook nobody else reads. When an agent leaves, so does the relationship. Two agents call the same buyer about different properties, and the buyer notices.

We measured this with an agency team in Istanbul: customers were not filling in the form at all. They wrote on Instagram and WhatsApp. So we built around that. Five agents' listings, incoming enquiries and customer records came into one panel, with both channels connected. Recording people where they actually write works better than pushing them into a form.

The second hard part is the archive. For one agent we moved the records that had built up in a previous brand's panel: 2,887 contacts in a single pass, with zero errors. During a migration, duplicates are flagged, missing fields listed and merge rules written with you. Nothing is deleted without telling you.

The third part is matching. When the area, number of rooms and budget a buyer wants are written on the record, a new listing can be checked against them and the matching buyers listed. Each record holds the area, rooms, budget range and timing a person is working to. Your office decides the required fields, and incomplete records stay flagged rather than hidden. On the seller side, the property's status and expectations sit in the same place.

Portal, WhatsApp and Instagram enquiries

Wherever the enquiry arrives, it lands in the same list and is assigned to an agent. The conversation shows next to the record, so whoever sends details can see what was asked.

Matching listings to buyers

When a listing is added, buyers whose criteria fit are listed with the reason for the match. The agent reads the list and decides who to call; nothing is sent automatically.

Assignment and follow-up reminders

Enquiries are assigned by area, property type or rota. A record waiting longer than your threshold moves to the top of the list and its owner is notified.

Archive migration

Records from an old panel or spreadsheets are migrated. Duplicates are flagged, missing fields listed and merge rules written with you. In one migration, 2,887 contacts moved in a single pass with zero errors.

Listing text and brochure drafts

Listing text and buyer brochures are produced from your own templates, with figures read from the record rather than typed again. The draft waits in an approval queue and the agent decides what is published.

Weekly reporting

Records per stage, average time to close and records with no movement sit on one screen. The weekly report is produced in a set format and goes to the people you choose.
