What does n8n vs Zapier come down to?

Definition

n8n and Zapier are two workflow automation tools that connect applications through a trigger and a chain of steps. Zapier is a cloud service that runs only on its own infrastructure. n8n runs either in the vendor's cloud or on a server the business controls. Zapier bills by tasks, n8n Cloud by workflow executions. The choice turns on where the data has to sit, how many steps a flow has and the team's technical skill.

Where do n8n and Zapier run?

Zapier is a cloud service. Flows, which Zapier calls Zaps, run on its infrastructure, and there is no version to install on your own server. Servers, updates and scaling stay with Zapier, so a team can start building on day one.

n8n runs in two ways. n8n Cloud is the hosted version, and n8n states that data on its hosted plans is stored in the EU, on servers in Frankfurt. The second is self-hosting on your own hardware, a rented server or a private cloud.

Self-hosting has a price in upkeep. Updates, backups, security patches and access control move to whoever runs the server: your team, or a supplier you contract for it.

  • Zapier: cloud only, upkeep on the vendor's side.
  • n8n Cloud: hosted, with data in Frankfurt.
  • Self-hosted n8n: data on your chosen server, upkeep on your side.

How are tasks and executions billed?

Zapier counts tasks. A task is used each time a Zap successfully completes an action, such as creating a contact or sending a message. Triggers, failed actions and several built-in tools, such as Filter, Formatter and Paths, do not count. Plans are tiered by a monthly task allowance.

n8n Cloud counts executions. An execution is one full run of a workflow, however many steps it has and however much data it handles. Plans are tiered by monthly executions, and n8n does not limit users or workflows on any plan.

The gap widens with every step. A flow with five actions that runs a thousand times a month is a thousand executions on n8n Cloud. On Zapier it uses five thousand tasks when every step succeeds. For a single-action flow the two counts match. The self-hosted Community edition has no execution fee; the cost is the server and its upkeep.

  • Zapier: each completed action is a task.
  • n8n Cloud: each full run is one execution, whatever the number of steps.
  • Self-hosted Community edition: no software fee, only server and upkeep.

What does each choice mean under GDPR?

Zapier states that it hosts customer data, including the data processed in Zaps, on AWS servers in the United States. An EU-only storage option is not offered. Transfers rest on Zapier's certification under the EU-US Data Privacy Framework and its UK Extension. Zapier also provides a data processing addendum with standard contractual clauses.

For a Dutch or UK business, that is a transfer of personal data outside the EU or the UK. It belongs in the record of processing and the privacy notice. Where a client contract requires data to stay in the EU, Zapier cannot carry that flow.

n8n Cloud keeps data in Frankfurt. Self-hosted n8n keeps it wherever you put the server, for instance in the Netherlands or the UK. Only the external services a flow calls see their share of the fields, and which field goes where is written down during the build.

  • Zapier: data in the United States, no EU-only option.
  • n8n Cloud: data in the EU, in Frankfurt.
  • Self-hosted n8n: data on the server you choose.

How do connections, code and AI steps compare?

Zapier's ready-made catalogue is larger. Zapier lists more than 9,000 apps, while n8n's integrations page lists more than 2,000. A common cloud application is more likely to find a ready connector there.

Where no connector exists, both have a route. n8n's HTTP node reaches any service with an API; Zapier offers a webhook step on paid plans and a developer platform for private integrations. Both accept JavaScript and Python, through the Code node in n8n and Code by Zapier in Zapier, where code runtime is capped by plan.

Both offer AI steps. Zapier adds AI steps to flows and also offers agents and chatbots. Its Copilot can build a Zap from a plain description. n8n has agent, MCP and AI nodes, with the model provider chosen inside the flow. In either tool, a step that is hard to undo, such as a payment, can wait for a person's approval.

  • Ready-made connectors: Zapier's catalogue is larger.
  • Code: JavaScript and Python in both tools.
  • AI: agents and AI steps in both, with human approval available.

Which tool suits which job?

Zapier is a quick route for short flows between common cloud applications. It suits a team without technical staff that does not want to run a server. It also assumes the business is content with US hosting under the Data Privacy Framework. Typical cases: a form response written to a spreadsheet, or a new deal posted to the sales channel.

n8n stands out where data has to stay on a chosen server, where flows have many steps, or where volume is high. Flows carrying patient, client or invoice details belong here, as do transformations that need code. In return, set-up and upkeep need technical skill.

ALTAI Digital chooses the tool for the job and writes down the reason. If the data must stay on your own server, n8n is installed. If a simple link between common tools is enough, Zapier does the job. Flows are built in the client's own account or on the client's server and handed over with documentation. Failures go to a queue, get reported and are retried, and a monthly report shows the success rate and pending errors.

  • Zapier: short flows, common cloud applications, no technical staff.
  • n8n: data that must stay on a chosen server, many steps, high volume or code.
  • Either way, every flow is documented and has an error queue.
Frequently asked

n8n and Zapier Frequently asked questions

It depends on the number of steps and the volume. Zapier counts every completed action as a task, while n8n Cloud counts each full run as one execution. On busy flows with many steps, n8n's unit gives a smaller number. Self-hosting swaps the software fee for server and upkeep costs.

Yes, the Community edition is free to self-host. n8n publishes it under its own Sustainable Use License, which n8n describes as fair-code and source-available. The licence allows use for your own internal business purposes, and a supplier may build and maintain flows for you. Offering n8n as a service where your customers build their own flows needs a separate commercial agreement.

Zapier states that it hosts data on AWS servers in the United States and does not offer EU-only storage. Zap history stays in the account for a limited period and is then deleted.

For short flows between common applications, Zapier is the shorter start, with nothing to install. If the data has to stay on a chosen server, n8n is the right fit. Set-up and upkeep can then be handed to a supplier. n8n Cloud sits in between: n8n without running a server.

They can, but they do not transfer one to one. Each Zap is rebuilt in n8n with its trigger, its steps and its failure behaviour. Unused Zaps are dropped first, and the ones using the most tasks move early.

Yes. Simple links can stay on Zapier while flows with sensitive data or many steps run on n8n. The two can trigger each other through webhooks. One list then records which flow lives in which tool, so upkeep does not drift.
